Where voicemail still helps

Voicemail gives callers room to describe a complicated situation in their own voice. It also works for landlines and for people who do not use SMS. If your customers regularly leave complete, useful messages, a well-written voicemail greeting may be enough.

What should the first message ask?

Ask for the one detail that helps you decide what happens next. A plumber may ask whether the issue is urgent. A roofer may ask whether the customer needs a repair or an estimate. A landscaper may ask for the property location and the service needed.

Avoid stacking four or five questions into the first message. Once the caller replies, you can ask for an address, photos, access details, or the best callback time.

What to avoid

  • Do not hide the sender. An unknown text without a business name looks suspicious.
  • Do not sound like a robot. Skip stiff phrases such as “Your inquiry is important to us.”
  • Do not overpromise. Only say someone will call “shortly” or arrive “today” if you can reliably do that.
  • Do not write a sales page. The caller already took action. Help them explain the job.
  • Do not ask for sensitive information. Keep the first exchange focused on the service request.

Should every trade use the same message?

No. The structure can stay the same, but the question should match the work.
